2. WHO WE ARE AND SCOPE OF THIS POLICY

Ahire is a leading provider of cloud-based recruiting software that helps companies manage and optimize their hiring processes.

Important Note About Data Controllers: Ahire processes personal information in different contexts:

  • As a Service Provider/Processor: When our customers (employers and recruiters) use our platform to manage their recruiting processes, they act as the data controller and we process data on their behalf according to their instructions. If you are a job candidate who applied through a company using Ahire, that company controls your data and you should contact them directly with privacy questions or requests.

  • As a Controller: We act as the data controller for information we collect directly from website visitors, our own job applicants, business contacts at customer and vendor organizations, and users who create accounts with us for their own job search purposes.

This Privacy Policy applies to personal information where Ahire acts as a controller. For information processed on behalf of our customers, please refer to the privacy policy of the organization to which you applied or that contacted you.

3. INFORMATION WE COLLECT

3.1 Information You Provide to Us

We collect information you provide directly to us, including:

  • Account Information: When you create an account, we collect your name, email address, password, company information, and professional details.
  • Profile Information: Information you add to your profile, such as job title, location, time zone, and contact information.

When you use our platform, we automatically collect certain information, including:

When you or your organization connects Google services to Ahire (such as Gmail or Google Calendar), we access and process the following Google user data:

  • Google Calendar Data: Calendar event metadata including meeting times, titles, attendee lists, and meeting links for the purpose of scheduling interviews and coordinating recruitment activities.
  • Gmail Data: Email metadata and limited message content necessary to facilitate communication between recruiters and candidates, schedule interviews, and manage the recruitment workflow.

We access this Google user data solely to provide our recruiting platform functionality and in accordance with the limitations described in this Privacy Policy and Google's API Services User Data Policy.

4. HOW WE USE YOUR INFORMATION

We use the information we collect for the following purposes:

  • Synchronize recruitment activities with users' calendars

We do not use Google user data for serving advertisements, building user profiles for advertising purposes, or any purpose unrelated to providing our recruiting platform functionality.

  • Searchable Profiles: We process resume data to create searchable candidate profiles, enabling recruiters to quickly locate candidates with specific qualifications, skills, or experience.
  • Candidate Matching: We use AI to analyze job requirements and candidate profiles to suggest potential matches.
  • Communication Analysis: We may use AI to analyze recruitment communications to improve workflow efficiency and provide insights.

If you are a job candidate, we share your information with employers and recruiters who use our platform, in accordance with your application choices and privacy settings. When you apply to a job through our platform, your application information is shared with the relevant employer.

6.2 Service Providers and Processors

We share your information with third-party vendors, consultants, and other service providers who perform services on our behalf and are contractually bound to protect your data, including:

  • Cloud hosting and infrastructure providers
  • Analytics and performance monitoring services
  • Payment processors
  • Customer support platforms
  • Email and communication services
  • AI and machine learning service providers
  • Data storage and backup services

These service providers are authorized to use your personal information only as necessary to provide services to us and are prohibited from using it for their own purposes.

6.4 Google User Data Sharing

We do not share Google user data with any third parties except:

  • As necessary to provide the recruiting platform functionality you've requested
  • With service providers who assist in delivering our Service and who are bound by contractual obligations to keep the data confidential
  • As required by law or legal process
  • With your explicit consent

6.5 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our business or assets, your information may be transferred as part of that transaction. 7.1 Google User Data Retention

Google user data is retained only as long as necessary to provide our recruiting platform functionality. When you disconnect Google integrations or delete your account, associated Google user data is deleted within 30 days, except where retention is required by law.

7.2 Data Deletion

When we no longer need to use your information, we will take steps to securely delete or anonymize it in accordance with our data retention policies and applicable law.

8. DATA SECURITY

We implement appropriate technical and organizational measures designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction, including:

Upon disconnection, we will delete Google user data associated with your account within 30 days, except where retention is required by law. Ahire's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we commit to:

  • Using Google user data only to provide or improve user-facing features that are prominent in our Service's user interface
  • Not transferring Google user data to third parties except as necessary to provide or improve user-facing features, for security purposes, to comply with applicable law, or as part of a merger or acquisition with user notice
  • Not using or transferring Google user data for serving ads, including retargeting, personalized or interest-based advertising
